How to Submit Listings to Art Calendar

Our listings of art opportunities are divided into two sections: those that require some type of fee for an artist to participate and those that don't. Any art opportunity requiring a fee from an artist, whether it be an application fee, booth rental fee or submission fee of any type, is subject to a $40-per-insertion charge. If there is no fee, then we will list the opportunity for free.

What we list free of charge: Exhibition, income and career-building opportunities for individual artists that have no fees involved. We will also list galleries or shows with no fees involved except commissions up to and including 50 percent. Examples: Grants, juried shows, residencies, fairs and festivals, conferences and trade shows, awards, Internet competitions, art consultants and licensing agents reviewing work, wildlife stamp competitions, publishing opportunities, teaching positions open, internships, calls for papers, museums and other gallery spaces reviewing exhibition proposals, scholarships, assistantships, apprenticeships ... you get the drift.

What we will not list free: Fee-based shows (i.e. rental galleries, juried competitions with fees), fee-based publications ("vanity" books or advertising space), or opportunities with fees of any kind (Any type of entry fee, even for a nonprofit organization, makes the listing subject to an insertion charge). In addition, we cannot list co-ops and membership organizations seeking new members, or show announcements -- if we did so then the magazine would be the size of the phone book. Editors' decisions are final.

When to send us your announcements: Please keep in mind that magazines have a significant lead time to allow for printing and mailing. Listings should be sent to us at least 90 days prior to the deadline for artists' submissions. For example, if you have an event with a deadline of May 26, you would need to send the listing to us by February 26 to ensure that the listing gets into the May issue, which will be on newsstands in early April.

How long, and when, your announcement will run: Your listing will appear for up to three months through and including the month of deadline, granting we receive it early enough. If you want additional exposure, please purchase a Classified Ad.

What info to include: The more information you include about your opportunity, the better. If artists know all the specifics ahead of time, that means fewer phone calls and less correspondence, and more suitable and targeted entries for your organization. We like to see full prospectuses for shows. Deadlines, entry fees, jurors, size/style/media limits, insurance terms, sales commission, awards, show dates and location, shipping details incl. fees if any, your Web address, and so on. If you have a Web site, please include it in your listings so artists can go directly to your site to check out your guidelines and/or the venue itself.

PLEASE be sure to include your organization's name and your address, telephone number, AND e-mail address. Not everyone has access to e-mail, some people dislike phoning, and so on.

How and where to send your announcements: Announcements are accepted via mail or e-mail. Our preference for receipt of listings and prospectuses is pretty much in that order.

E-mail is okay too. (We do not open attachments, so please cut-and-paste the details into the e-mail.)

Additional requests from the Publisher: We process thousands of pieces of mail every month and ultimately hundreds of listings appear. Thank you for being considerate of our time and resources so we can continue to publish your listings for free. We do reserve all editorial rights and responsibilities -- i.e., a listing organization does not have an automatic "right" to a free listing. Thus --

    1. Please don't call us to ask whether we received your listing. If you want a confirmation, please ask for an e-mail. We'll send you a confirmation if we can.

    2. Please don't ask us to make "special exceptions" and run your listing at different times. If you want your listing to run longer, support our efforts and purchase a Classified Ad.

    3. We reserve the right to edit listings to our format.

    4. Do feel free to send us listings and opportunities with "no deadline" or "deadline ongoing," but be aware that these opportunities will appear only on a space available basis.

    5. Please do not send us registered or certified mail.
